Export Traffic Coordinator

We are seeking a proactive and detail-oriented Traffic Coordinator with expertise in Ocean Freight, Over-the-Road (OTR) transportation, and Containers and Trailers Dispatch. This role is responsible for coordinating shipments, ensuring timely and compliant delivery of goods, managing freight invoicing reconciliation and validation, and overseeing the dispatch and tracking of containerized and trailer-based cargo. The ideal candidate will have strong communication skills and a solid understanding of international and domestic freight operations.

Key Accountabilities:
  • Coordinate and schedule Ocean Freight, OTR shipments, and container/trailer dispatch with carriers, freight forwarders, and internal teams.
  • Manage dispatch planning for intermodal containers and trailers, ensuring optimal routing and equipment utilization.
  • Ensure compliance with international shipping regulations, customs documentation, and domestic transport requirements.
  • Track and monitor shipments and dispatched equipment to ensure on-time delivery and resolve delays or issues proactively.
  • Prepare and manage Bills of Lading, commercial invoices, packing lists, and other shipping documentation.
  • Communicate with vendors, carriers, and customs brokers to facilitate smooth transportation flows.
  • Maintain accurate shipment and dispatch records; update internal systems with real-time status.
  • Reconcile freight invoices against shipment records, contracts, and rate agreements.
  • Validate billing accuracy and resolve discrepancies with carriers and vendors.
  • Collaborate with finance and accounts payable teams to ensure timely and accurate payment processing.
  • Identify cost-saving opportunities and support continuous improvement in transportation and dispatch processes.
  • Ensure compliance with company policies, safety standards, and regulatory requirements.

Desired Skills & Experience:
  • Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or related field preferred.
  • 2–4 years of experience in traffic coordination, preferably in Ocean Freight, OTR logistics, and container/trailer dispatch.
  • Strong knowledge of international shipping practices, Incoterms, and domestic freight regulations.
  • Experience with freight invoice reconciliation and validation.
  • Proficiency in logistics software, TMS, and Microsoft Office Suite.
  • Excellent organizational, communication, and problem-solving skills.
  • Ability to work in a fast-paced, deadline-driven environment.
Preferred Skills & Experience:
  • Familiarity with customs clearance procedures and documentation.
  • Experience with ERP systems and freight audit platforms.
  • Certification in logistics or transportation (e.g., CTB, CLTD) is a plus.
  • Bilingual skills (e.g., English/Spanish) are advantageous for international coordination.
